Cyntel Technologies is currently seeking an Administrative Operations Analyst to support a program at Wahiawa, HI.
Clearance Required: TS/SCI clearance with CI polygraph
Duties and Responsibilities:
- Provide planning assistance to senior management and staff members, including but not limited to time management, scheduling, coordinating meetings, and travel logistics.
- Plan, organize and maintain accurate and organized electronic and physical filing systems for important documents, correspondence, reports, and other materials.
- Ensure confidentiality and security of sensitive information.
- Serve as a primary point of contact for internal and external inquiries, emails, and phone calls.
- Facilitate communication between various departments, stakeholders, and external partners as needed.
- Assist in maintaining records, databases, and spreadsheets as required. Track expenses, process invoices, and assist in budget monitoring and financial record-keeping tasks.
- Support the planning and execution of organizational events, conferences, and meetings.
- Coordinate logistics, such as venue bookings, catering arrangements, and audiovisual equipment setup.
- Draft, proofread, and edit correspondence, reports, and presentations as required. Ensure accuracy, consistency, and adherence to organizational standards.
- Assist in the coordination and tracking of various projects and initiatives within the organization.
- Provide administrative support to project teams as needed.
- Provide general support and assistance to other team members and departments as required.
- Maintain flexibility to handle diverse tasks and responsibilities as they arise.
- This position may require up to 20% travel CONUS and OCONUS.
Minimum Requirements:
- At least 4 years of administrative experience supporting the Department of Defense (DoD)
- Proven experience as an administrative assistant in a fast-paced environment.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong attention to detail and accuracy in work.
- Excellent communication skills, both written and verbal.
- Discretion and confidentiality in handling sensitive information.
Preferred Qualifications:
- Bachelor’s degree in business administration, office management, or related field.
- Familiarity with U.S. Navy administrative functions, doctrine, and policies.
